What's the general flow of email messaging through Lead Dolphin?

Say we have Sales Rep Andy, and prospect Betty... 


  • Andy sends an email to Betty by clicking the email address on Betty's profile page. 
  • She receives a message with Andy's name, and an email address that looks something like this: 44461f0b@ld.yourclubname.com.
  • She replies to the message and Andy gets a notification in his personal email that a message was received from Betty and is in Andy's LD mailbox.
  • Andy clicks the link in his notification message and goes straight to his LD mailbox to read the message. 



When someone replies to campaign email, does it go to the club email or sales rep? 

If someone replies to an email they received as a result of a campaign mailing, the associated sales rep will receive a notification. If the prospect/member has no associated sales rep then the club email will get it.



What is the email notifications field for?

On the Club Settings page, there's a place to add multiple email addresses. These will be cc'd on all communications from prospects/members via campaigns. The email notifications field gets copied on everything. If email is sent to lead that has sales rep, it’ll appear in sales rep mailbox. 


In this screenshot, example@exampleclub.com will get cc'd on all communications.

How is the outgoing email's From: field set?

The outgoing name is set in the following order. For example, if there is no setting for the name in the Club Settings, then the Sales Rep's name is used. 
  1. Club Settings (JSON)
  2. Sales Rep name
  3. Club name
  4. Platform name


What is the mailbox for a sales rep/manager for?
The Lead Dolphin mailbox holds the correspondence with prospects/members. When a team member receives a new message in their mailbox, their personal email will receive a notification telling them of such (and include a link straight to it).

Will outgoing email be their email address/name?

This depends on a Club Setting. 

If the Club Setting for Default From Address IS set:

Then all outgoing messages will have that address from the settings field.


If the Club Setting for Default From Address IS NOT set:

Then outgoing emails from team members to prospects/members will be in the form <hash>@clubname.com. The part labeled <hash> means it's a coded string of seemingly random characters which may look something like this: 44461f0b@ld.leaddolphin.comThe reason for this is that allows the system to accurately connect any replies to the appropriate prospect/member and team member. Unfortunately without this code, there's no reliable way to insure the email thread gets continued accurately.

Note the Email Name Override setting just below the From Address. This is where you can set the default person's name, rather than allowing the name of whichever sales rep or manager is initiating the communication.

 


When a prospect/member replies to an email where is there a record of this?

The prospect/member's profile page will have a record of all communication at the bottom under the various tabs.

When someone replies to an appointment reminder email, where does it go?

Nowhere, it's not a method for dialog between user and sales rep or club. The email address of the reminder is noreply@ld.leaddolphin.com as a reminder.
