You should first understand the way user accounts and profiles work on Lead Dolphin. Every employee has one user account. Each user account can have multiple profiles (one profile per club). So if a user called Jane User is hired and needs access to three clubs, Club A, Club B, and Club D, you could visualize it like the image below. (The greyed out Club C, is a club she doesn't have privileges for, so she does NOT have a profile for that club.)

If an employee leaves a club (just a club and not the whole company), you only need to remove the profile for that club from the user account. If Jane left Club B, but continues to work at the other two clubs, you'd only remove the Club B profile from her user account.


If an employee leaves the company altogether, you'd remove their user account (which would necessarily remove all their profiles as well). 



How to remove a profile from a user account

Selectively removing the user from some clubs will leave their user account intact, and just remove their access to certain clubs. 
  1. Click Remove User under the team members name on the Team Member page

  2. Check the club you wish to REMOVE access to, do NOT check the Remove User Account checkbox, then click the Remove User button. Note, in spite of what the button says, you're not actually removing the user in this instance, but rather removing the profile.

How to remove a user account from the company altogether

This is a bigger deal than just removing profiles. Removing a user account cannot be undone (you'd have to recreate a new user account from scratch). Any data related to the former user account is deleted. Make sure you've read the first part of this page describing the relationship between user accounts and profiles.


Does the departing employee have any assigned leads?

If so, decide if you'd like to transfer these leads to another sales rep or simply let them become unassigned leads.

  1. If you want to reassign leads, follow the guide here.
  2. If you want to simply let them become unassigned, do nothing and continue with this guide. 
  3. Go to the Team Members page and click "Remove user" under the appropriate team member.

  4. Click the bottom checkbox then click Remove User. Clicking that box will automatically check all the profile boxes. There is one more "are you sure?" page to click through before this is final. After that the user account will be removed from Lead Dolphin completely.
